AWPR (Australian Water Polo Referees) respects your privacy. This policy explains what personal information we collect, why, and how we look after it. We aim to handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
1. What we collect
Depending on how you deal with us, we may collect:
- Contact details: your name, email address and phone number.
- Membership details: your membership tier, club, refereeing level and payment status. Payments are processed by our membership platform. AWPR does not store card details.
- Referee requests from clubs: club name, contact person, game dates, times, venues and grades.
- Incident support requests: your contact details, the date of the game, and what you tell us about the incident. This can include sensitive information, such as details of abuse, injury or the conduct of others.
- Mentoring: your refereeing experience and development goals.
- Newsletter: your email address.
We only collect information we need, and we collect it from you directly wherever possible.
2. Why we collect it
We use your information to:
- manage your membership and communicate with you as a member
- connect clubs with available referees
- respond to incident support requests and support you through federation processes
- match referees with mentors
- send you news and event information if you have subscribed
- meet our legal obligations
We do not sell your personal information, and we do not use it for unrelated marketing.
3. Incident support information
Information you share through incident support is used only to support you. We limit access to the small group of committee members who handle support requests.
We will not pass it on to anyone else, including a club or federation, without your agreement, unless:
- the law requires us to, or
- we believe someone is at serious risk of harm, including a child or young person
4. Who we share information with
We share personal information only where needed to provide our services:
- Service providers that host our website, deliver form submissions, process membership payments and send email. Some of these providers store data outside Australia, including in the United States.
- Clubs, when you ask us to connect you with a club for a referee appointment.
- Water Polo NSW, Water Polo Australia or Sport Integrity Australia, only with your agreement, or where the law requires it or someone is at risk of harm.
5. How we store and protect it
We store information using reputable online services with access controls, and we limit access to committee members who need it for their role. Form submissions are delivered to restricted AWPR inboxes. Our form service keeps copies for a limited period only.
We keep information only as long as we need it for the purpose it was collected, or as required by law, and then delete or de-identify it.
6. Children and young people
Some AWPR members, including junior referees, are under 18. Where we collect information about someone under 18, we ask for a parent or guardian's consent where appropriate, and we handle it in line with the Water Polo Australia Child Safeguarding Policy.
7. Our website
Our website does not use advertising or tracking cookies. Our hosting provider may keep standard technical logs, such as IP addresses, for security and performance.
8. Accessing or correcting your information
You can ask to see the personal information we hold about you, or ask us to correct or delete it, by emailing privacy@awpr.org.au. We will respond within 30 days.
9. Complaints
If you have a concern about how we have handled your personal information, contact us at privacy@awpr.org.au. We will acknowledge your complaint and aim to resolve it within 30 days.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au.
10. Changes to this policy
We may update this policy from time to time. The current version will always be on our website, with the date it was last updated.
